Keeping every dog safe is the foundation of Vroom Grooms LLC, and updated vaccination records are a major part of that safety. At the start of 2026, all clients were asked to submit current records, and since then, multiple reminders have been sent—including a notice inside every automated appointment reminder and confirmation text.
Despite these reminders, many records are still missing or outdated, and it’s time to reinforce how important this requirement is and what happens when records are not turned in on time.
📌 Why Owners Are Responsible for Submitting Updated Records
Vaccination records protect your dog, other dogs, and Dog Groomer Nicole. They also keep Vroom Grooms compliant with insurance and safety standards.
Because Nicole is a solo operator working with live animals all day, she cannot chase down paperwork for each client. It is the owner’s responsibility to:
- Track when vaccines expire
- Request updated records from their veterinarian
- Submit them to Vroom Grooms before the deadline
This applies to every dog, every year, without exception.
📅 Records Were Due at the Beginning of 2026
All clients were notified that updated vaccination records were due at the start of the year.
If your dog’s records are still missing or expired, you are now considered past due.
⚠️ First-Time Offenders: New Fees & Price Adjustments
If this is your first time failing to turn in updated records on time, the following will apply at your next grooming appointment:
- If you currently pay the lower end of your dog’s breed/size price range → you will now pay the higher end.
- If you already pay the higher end → you will now be charged the next breed size up.
- Plus a $50 fee per dog for failing to provide updated records by the deadline.
These adjustments reflect the additional administrative time, delays, and safety risks caused by missing documentation.
🕓 New Deadline: 48 Hours Before Any Future Appointment
From this point forward, all vaccination records must be turned in at least 48 hours before any grooming appointment, no later than 4:00 PM on that day.
If records are not submitted by that deadline:
- Your appointment will be canceled
- Fees may apply
- You may lose your spot to another client
This rule also applies to clients who previously submitted records.
Once your dog’s vaccines expire, new records must be turned in before the 48‑hour deadline, or the same fees and price adjustments will apply.

If you are unable or unwilling to provide updated vaccination records, Vroom Grooms LLC will have to terminate grooming services for your dog.
This is not personal—it is a matter of safety, legality, and policy compliance.
